Terms and conditions for sailing on Grayhound
•To make a booking fill out the online booking form on our website. We will then email you to confirm we have received your booking request and you will receive an invoice for your 25% deposit.
•Your booking is not secured until your 25% deposit has been received. Please do not book any travel arrangements until you have received confirmation that your deposit has been received. On receipt of your deposit we will contact you by email and include a booking confirmation pack . This email will include three pdf files. Including your welcome letter explaining what happens next, our terms & conditions again and your joining notes. Please save these files for your future reference. You will be emailed a receipt separately for your deposit payment.
•UK customers can only pay by bank transfer to our Lloyds account which is free
•European customers can pay in Euros to a French account ( at the current daily exchange rate). Please ask for this option. If international customers pay to our UK account they must pay the fee on their side and there will be a £15 admin fee separately from us to receive the payment. This will appear on the invoice. To avoid two fees it is better for international customers to pay the whole amount to start with.
•A final balance invoice will be emailed to you 12-14 weeks before the voyage starts. Please pay this immediately on receipt. Your payment due date will be clear on the invoice. If a booking is made less than 12 weeks before the start of the voyage then full payment will be taken at that time. We will email you a receipt of your payment once we have received your remaining balance.
If you wish to cancel a booking for a voyage, then please notify us as soon as possible. If you cancel your booking within 14 days of paying your deposit and at least 12 weeks prior to departure, a full refund, less an administration fee of £50.00 per crew member will be made. A deposit will become non refundable 14 days after the date of booking. If you cancel a voyage 12 weeks or more before the start of the voyage then you will receive a full refund less your deposit. If you cancel a voyage less than 12 weeks before the start of, or after the commencement of your voyage then you will be liable for the full cost of the voyage. In all cases if we are able to resell your cancelled berth we will reimburse you the full cost less the deposit. You must take out travel insurance to cover yourself should you need to cancel a voyage.
•Signing online digitally the medical declaration form or booking form confirms your agreement to all our terms and conditions.
•Grayhound Lugger reserves the right to refuse any applicant considered unsuitable without giving an explanation.
•Danger – You understand that sailing can be a dangerous activity, particularly in rough weather, which can be encountered at any time of year on any voyage.
•In the unlikely event that we are forced to cancel a voyage due to unusual and unforeseen circumstances beyond our control (Force Majeure), we will endeavour to offer an alternative voyage at a mutually agreeable date. If we have to cancel a voyage due to any other reasons, e.g. mechanical failure, then a full refund or an alternative voyage will be offered. In all cases our liability is limited to offering a refund only up to the amount paid and we will have no further liability to you in respect of consequential economic loss.
•Grayhound Lugger reserves the right to make necessary amendments to any voyage with regards to start/end destinations or planned itinerary. In the unlikely event of any changes, we will endeavour to contact you at the earliest opportunity. All decisions of any amendments will be made by the Skipper and no refunds or liability accepted by Grayhound Lugger. The company will not be responsible for any cost of travel due to such a situation arising.
If you want to change your voyage or change with someone else this is up to us and at our discretion. All changes will incur a £50 amendment fee. A change of voyage cannot be made less than 12 weeks before your voyage departure. This will be considered a cancellation and such fees and terms will apply.
•Your safety is our primary concern. Grayhound is CAT 0 MCA coded vessel equipped with safety gear in excess of that required by law, and is run by highly experienced and qualified crew. You will receive a full safety briefing at the start of the voyage. You must agree to abide fully with the instructions of this safety brief, the skipper and permanent crew.
•A reasonable level of physical and mental fitness is required to sail on Grayhound, so if you or any of your party suffer from any medical conditions that might affect their physical or mental health and safety during the voyage, e.g. Heart conditions, epilepsy, diabetes, psychological illness or if you are on any medication that may be adversely affected by seasickness you must disclose it to us at the time of booking. This information will be held in confidence by us until the completion of your voyage. Failure to disclose a condition could result in the affected crew being put ashore for their own safety. In this case we will not be liable for any refunds or expenses incurred.
•We aim to sail Grayhound as much as possible, taking into account the weather conditions at the time and forecasted, the ability of the crew and the waters we are sailing in. We will endeavour to fulfil any reasonable requests the voyage crew may have, however in all these matters the skippers decision is final.
•What is included. Bedding and linen (not towels) for each member of voyage crew, food onboard, use of the vessel’s oilskins (not footwear) , all safety equipment, life jackets and harnesses , mooring and fuel costs.
•What isn’t included . Any meals taken ashore , we ask you to pay for one evening meal out per week and any lunches if we are ashore during the week, any tours ashore, alcohol , travel to and from the vessel (sometimes there is an option to take a water taxi )and personal travel insurance.
•Grayhound is covered by professional insurance that includes third party liability. This does not cover you for any personal travel insurance, loss or damage to your property not attributable to our negligence or defects in the vessel. You must take out your own personal travel insurance to cover as a minimum, medical and personal accident expenses, loss and damage to personal effects. This policy must cover sailing over 12 Nautical Miles offshore and voyage cancellation. If you are joining us on a Atlantic circuit voyage you must state you are ocean sailing and state your start and finish ports. The policy must cover where you are sailing. We may require you to show us your insurance policy before you board.

By signing our booking form you are agreeing for your email address to be added to our mailing list. We send out two or three news letters a year to tell you about our latest schedule. We only use the information we collect about you carefully, lawfully and in accordance with the Data Protection Act 1998 and the EU General Data Protection Regulation (GDPR). We do not pass on your information. We just send you a newsletter.
